VillaValtava Booking Terms & Conditions

Villa Valtava applies the following terms and conditions to the villa renting and ordered services. These terms and conditions become binding to both parties after the customer has paid the booking fee.

Booking and payment

The person making the booking must be of legal age when doing so (18 years or older). The booking can be made by contacting owner via email or phone. The booking is confirmed when the customer has paid the booking feee (20% of the destination rent) by the due date or once the customer has paid both the booking fee and the final payment together. The final instalment must be paid no later than six (6) weeks prior to the start of the holiday, unless otherwise agreed. If the booking is made 6 weeks or less before the start of the rental period, the full amount must be paid before agreed due date. If the client fails to pay or misses the payment deadline, the owner has the right to cancel the booking.

Cancellations

Any cancellations must be made to owner in writing by email to villa.valtava@gmail.com. The date on which owner receives the notification will be regarded as the date of cancellation. The reservation fee will not be refunded upon cancellation. If customer has paid the final instalment together with booking fee, the final instalment is refunded when cancellation is made before due date of final instalment. Any payments are not refunded after the due dates. Customers are not entitled to a rent refund if they do not occupy the destination or arrive late for their stay. If a customer interrupts their booking and departs the holiday destination before the end of the lease period, no compensation will be paid for the unused time and the customer is not entitled to a rent refund.

Owner right to cancel a booking

Owner may cancel a booking in the event of force majeure. In this case, the client is entitled to a full refund of the sum paid to owner. If a booking has to be interrupted because of disruptive behaviour on the part of the customer, no payments will be refunded. If the customer fails to pay or misses the payment deadline, the booking may be cancelled without separate notification.

Arrival and Keys

Cottage is available for customer from 4pm on the day of arrival to 12 noon on the day of departure, if not otherwise agreed in written format. The customer must contact the custodian to inform arrival time and key collection well in advance. If customer is not able to arrive on agreed time, owner and custodian cannot guarantee key handover. The customer is responsible to agree key handover with custodian on departure. Owner is entitled to charge costs incurred for the replacement of any lost key (e.g. new lock arrangements and new keys).

Stay at destination

The rent pays for the right to use the destination during the booked period for agreed number of persons. Normal energy consumption, furnishings, cooking and eating utensils, mattresses, blankets and pillows are included in the rent.

The customer is responsible for cleaning the villa during the rental period and before departure unless otherwise agreed with owner. Sheets and towels are not included in the rent unless otherwise agreed. Guests must use bed linen.

Departure cleaning must include the washing and return of dishes to their original place, garbage removed to the waste disposal point, removal of empty bottles and cans, and putting furniture back to its original place. Food, excluding basic spices, dry supplies and frozed food what was in villa in arrival, should be taken away or to the waste disposal point. Carpets and floors should be vacuum cleaned, the floors wiped with a damp mop, tables and surfaces wiped with a damp rag, bedclothes aired outdoors, the sauna and WC cleaned. The yard area and barbecue location must be left in a tidy condition. The departure cleaning should be performed in its entirety on the day of departure and villa shall be left on same condition as it was on customer arrival.

Customer must also remove empty bottles and cans from the property and return any moved furniture to their original place. Any food brought by customer to villa must be taken away or to the waste disposal point. Basic spices and dry supplies (dried food) and frozen food can be left to villa. Separately rented or included linens shall be left to villa.

If villa is not cleaned properly before departure, owner or custodian is entitled to charge raised cleaning fee (2x normal departure cleaning service).

Smoking and pets are not allowed indoors.

Outdoor jacuzzi

The paid rent covers normal use of jacuzzi (max 4 hours/days) and required chemicals for rental period. The jacuzzi cover must be closed always when pool is unused for 30 minutes or longer time. Customer is responsible for maintaining jacuzzi water quality and dose of jacuzzi chemicals during the stay. Owner or custodian is entitled to change jacuzzi water before customer rental period, in such case owner and custodian cannot guarantee that jacuzzi can reach the normal usage temperature in first day of rental period.

Number of persons

The number of people using the villa must not exceed the number agreed on during booking. Tents and caravans or use of rentable equipment are not permitted at the destination without the permission of the owner or custodian.

Damages and complaints

Clients are liable for any damages they cause to the destination property. The owner or custodian must be notified immediately of any damages caused. The client is required to pay the owner for any damage caused to the destination or its contents during occupancy. If the customer does not immediately report observed deficiencies to the owner or custodian during the rental period, the destination will be considered to have been in the contractually-required condition. It is impossible to jointly verify deficiencies reported after the end of the rental period, and ownert will therefore not be liable to compensate for them in any way.

Applicable law

The contracting parties will attempt to resolve any disputes out of court. Should they fail to reach agreement, any disputes will be settled by the Oulu District Court. The contract is governed by Finnish law.
